Privacy Policy
How Servio collects, uses and protects personal information — for enquirers, clients, job applicants and website visitors.
Who we are
Servio Support Services Ltd ("Servio", "we", "us") is a business support company registered in England and Wales under company number 15671646. Our registered office is 130 Rochdale Road, Oldham, Greater Manchester, OL2 6QF.
We are the data controller for personal information we collect about enquirers, clients, job applicants and website visitors. For personal data we handle inside a client's systems on their instruction, that client is the controller and we act as processor.
Information we collect
We collect only what we need to respond to you and to run our services.
- Contact details you give us: name, company, email address, phone number
- Enquiry content: the service area you select and anything you write in the message field
- Recruitment information: CVs, work history and correspondence sent to careers@serviosupport.com
- Client records: the documents and correspondence we process under a signed scope of work
- Server log data: IP address, browser type and pages requested, recorded by our hosting provider for security and kept for a short period
- Website measurement: aggregated page view counts from Cloudflare Web Analytics, which sets no cookies and identifies no individual — see our Cookie Policy
How we use it
We use your information to reply to enquiries, prepare quotes, deliver the services set out in your scope of work, meet our own legal and accounting obligations, and assess job applications.
- Responding to an enquiry or preparing a quote — our legitimate interest in answering you
- Delivering agreed services — performance of our contract with you
- Keeping accounting and tax records — our legal obligation
- Considering a job application — our legitimate interest in recruiting staff
Who we share it with
We do not sell personal data and we do not share it for marketing purposes. We share it only where necessary:
- Our accountant and professional advisers, where required
- Software providers that host our email, documents and accounting records
- Your own accountant or advisers, where your scope of work directs us to
- Law enforcement or regulators, where we are legally required to do so
Where your data is held
Our records are held on business software hosted within the UK and the European Economic Area wherever possible. Where a provider processes data outside the UK, we rely on the UK International Data Transfer Addendum or an adequacy decision to keep protection equivalent.
Some of our team work remotely from outside the UK. They access client systems under the same confidentiality and security obligations as our office staff, and only for the tasks set out in the relevant scope of work.
How long we keep it
Enquiries that do not become clients are deleted after twelve months. Client records are kept for the duration of the engagement and then for six years, to meet accounting and limitation requirements. Unsuccessful job applications are kept for six months unless you ask us to remove them sooner.
Your rights
Under the UK GDPR you can ask us to confirm what personal data we hold about you, provide a copy, correct it, delete it, restrict how we use it, or transfer it to another provider. You can also object to processing based on legitimate interests.
To exercise any of these rights, email hello@serviosupport.com. We respond within one month. If you are unhappy with our response you can complain to the Information Commissioner's Office at ico.org.uk.
Security
Access to client records is restricted to the named team working on that account. Devices are encrypted and password-managed, accounts use two-factor authentication where the provider supports it, and access is revoked the day a team member or engagement ends.
If a breach occurs that is likely to affect your rights, we will tell you and the ICO within 72 hours of becoming aware of it.
Changes and contact
We update this policy when our practices change and will post the revised version here with a new date. For anything relating to your personal data, write to hello@serviosupport.com or to Servio Support Services Ltd, 130 Rochdale Road, Oldham, Greater Manchester, OL2 6QF.
This page is a plain-English summary of our practices. It is not legal advice, and it does not replace the signed scope of work that governs an engagement.
Something here unclear?
Ask us before you sign anything. We would rather answer a question twice than have it misunderstood once.
